How to write a Diwali notice for your housing society
Most societies send more than one Diwali notice. There is usually an announcement of the celebration, a request for contributions, something on decoration and lights, a fireworks and safety notice, and a clean-up and thank-you message afterwards. Residents read these on a phone, often in a crowded WhatsApp group, so the notice that works is the one people can understand in ten seconds.
What every society notice should have
A subject line that says what it is. "Diwali Celebration 2026 - Saturday 7 Nov, Clubhouse" is better than "Important notice". People decide whether to open a message from its first line.
Who is issuing it. Name the managing committee or RWA and sign off with a name and role (Secretary, Cultural Secretary). Residents trust a notice more when they know who to ask.
Date, time and place, early. Put the when and where in the first two lines, not at the bottom. If a timing is still to be confirmed, say so plainly instead of guessing.
One clear ask. Each notice should ask residents to do one thing: register a child, volunteer, pay a contribution, park elsewhere for a day. If you need three things, consider three short notices spread over a couple of weeks.
A deadline and a contact. "Reply to [name], Flat [no.], by [date]" gets far more responses than "interested residents may contact the committee".
Polite, inclusive tone. Not every household celebrates Diwali, and some residents are elderly, unwell, have newborns or pets. A line that welcomes everyone and asks for consideration for neighbours keeps the notice friendly rather than bossy.
Language and format
In many societies the committee posts the same notice in English and in the local language (Hindi, Marathi, Kannada, Tamil and so on). If you do this, keep both versions saying exactly the same thing, including dates and amounts, so nobody gets a different answer depending on which version they read.
For the notice board, print it on A4 in a large font with the subject in bold. For WhatsApp, avoid long paragraphs, keep the key details on their own lines, and pin the message if your group allows it. Date every notice and, if you correct something, post a fresh notice marked "Revised" rather than editing silently.
When to post
A common rhythm is to announce the celebration and call for volunteers around three weeks before Diwali, request contributions shortly after, post the programme and decoration details about a week before, and post the fireworks and safety notice a few days before the festival, once your city's order for the year is out. Clean-up and thank-you notices go out in the days after.

- ☐ Notice is dated; corrections go out as a new "Revised" notice.
- ☐ Pinned in the group and printed for the notice board and lift lobbies.
